02 · Why these five columns
Not five arbitrary fields. Five things you actually need to know.
Prop Item — what it is, plainly, so anyone scanning the list understands it without opening a photo.
Prop Number — a stable ID that survives the item being renamed, re-sourced, or handed to a different assistant.
Scene Number — the link that makes the rest of the sheet mean anything. One prop can span many scenes; one scene can need many props.
Location — where it lives right now: storage, on set, with a specific department, or still with the vendor.
Notes — condition, continuity flags, hire-vs-buy-vs-build, whatever doesn’t fit a column. This is where the real judgment calls get recorded.
Those five are the spine. The download adds four more the working sheets we looked at kept re-inventing in the margins — Quantity, Status, Category and Source — so a rental you have to return by wrap doesn’t end up as a note nobody reads.
This is the same structure behind most free prop-list templates circulating in the industry — we didn’t invent it, we just made it a ready file.

The sheet works until two people need the same number.
A spreadsheet has no way to know scene 45 now needs two pocket watches instead of one, or that continuity is working from a copy that’s two days old. That’s not a flaw in the template — it’s the point where a spreadsheet’s job ends.
