Every prop you source, clear or return lives on the scene it’s used in. Add it once, and the count, the shoot-day card and the export all read from that same entry.

You already keep a list: prop, number, scene, location, notes. The trouble isn’t the list — it’s that scene 45 gets rewritten on Tuesday, the pocket watch count changes, and now the list, the card you printed for the AD, and the rental return date in your head all say something different.
